1. GENERAL NOTE

  1. The SACU Secretariat, in collaboration with the South African Revenue Service, is hosting the Phase 1 of the Training/Workshop for the SACU Regional AEO Programme.
  2. The Phase 1 Training/Workshop is scheduled to take place Hybrid, with Online Training, Virtual Peer-to-Peer Learning, and Classroom Learning.
  3. The event is scheduled to take place as follows:
    • 5th February – 8th April 2024 – Completion of the WCO E-learning Course by all Participants/Trainees (online)
    • 2nd April 2024 (10:00-12:00) – Peer Learning from EAC- Virtual Session
    • 3rd April 2024 (11:00-13:00) – Peer Learning from EU – Virtual Session
    • 4th April 2024 (10:00-12:00) – Peer Learning from ASEAN – Virtual Session
    • 9th April 2024 (09:00-13:00) - SACU Regional AEO Programme & Alignment to Strategic Objectives, and International & Regional Standards – Hybrid. Physical venue: The Capital Hotel, Menlyn Maine, Pretoria
    • 10th April 2024 (09:00-13:00) – AEO Programme in the context of SACU (SACU Strategic Plan 2022-2027 & Approved SACU Regional AEO Programme)– Hybrid, Physical venue: The Capital Hotel, Menlyn Maine, Pretoria
    • 11th April 2024 (09:00-16:00) – AEO Programme in the context of SACU (status quo for implementation of AEO Programme)– Hybrid, Physical Venue: The Capital Hotel, Menlyn Maine, Pretoria

2. TRANSPORT ARRANGEMENTS

  1. Airport Shuttles are available for free from OR Tambo International Airport to ferry delegates to the respective Hotels. Please liaise with hotels to provide you with contact numbers and to indicate where their airport shuttles park at the airport so that delegate may ask / seek appropriate questions/ information at the airport. Also send the consolidated arrival and departure delegation list to hotels for transport facilitation.

3. PARTICIPATION

  1. WCO Sponsored List of Participants:
    1. WCO is sponsoring three Officials per Member State from Botswana, Eswatini, Lesotho, Namibia and South Africa
  2. Member States:
    1. Member States are sponsoring their delegates for up to five per Member State
  3. Secretariat:
    1. Secretariat is sponsoring Officials of the Secretariat as well as three Resources Persons that are part of the Secretariat team and the planning team for the Training/Workshop.
  4. Consolidated list of Participants:
    1. Secretariat will provide a consolidated list of Participants prior to the event.
    2. Delegates who are participating physically at the event are encouraged to confirm their attendance to the Secretariat through their national coordinators.
    3. The WCO Sponsored Delegates submitted their respective names to the WCO and these were consolidated and submitted to the SACU Secretariat.

4. ACCOMODATION

  1. As the norm, all delegates are advised to make their own accommodation arrangements. A list of accommodation establishments is attached as Appendix I.


5. REGISTRATION AND ACCESS TO MEETINGS

  1. The link to the Meeting will be provided in line with the respective Meetings and invitations for the respective Meetings will be sent via MS Teams and Zoom.
 

6. VISA REQUIREMENTS

  1. Kindly see link from the Department of Home Affairs outlining countries exempt from South African Visas. Department of Home Affairs - Exempt Countries (dha.gov.za). It is important to have the names and copy of passport of delegates coming from identified organisation participating in the event so that SARS can prepare letters for them to take to embassies for visa application.

    Congo, Burundi, South Sudan, Cameroon, Burkina Faso, The Gambia, Chad, CAR, Guinea Bissau, Togo, Equatorial Guinea, and Sierra Leone passport holders require a visa to enter South Africa. While others may require a visa if the stay in South Africa is scheduled for a minimum of 30 days as indicated on the list issued on 24 April 2023. Countries who require visa to South Africa are kindly requested to apply such visa through South African Embassy/ High Commissioners in their respective countries/ or the missions accredited to their countries.

7. HEALTH REQUIREMENTS (TRAVELLERS)

  1. South Africa currently does not have any COVID 19 travel restrictions, if the travellers are vaccinated, and they have their vaccination certificate/card they can travel to South Africa.
  2. Countries for which a yellow fever vaccination certificate is required for entry into South Africa are:
    Angola, Argentina, Benin, Bolivia, Brazil, Burkina Faso, Burundi, Cameroon, Central African Republic, Chad, Colombia, Guinea-Bissau, Congo, Côte d’Ivoire, Democratic Republic of the Congo, Ecuador, Equatorial Guinea, Ethiopia, French Guyana, Gabon, Gambia, Ghana, Guinea, Guyana, Kenya, Liberia, Mali, Mauritania, Niger, Nigeria, Panama, Paraguay, Peru, Rwanda, Senegal, Sierra Leone, Sudan, Suriname, Togo, Trinidad and Tobago, Uganda, and Venezuela.


8. CURRENCY

  1. The South African rand, or simply the rand, (sign: R; code: ZAR) is the official currency. The exchange rate fluctuates, as at the time of writing this logistics note was in the region of approximately 1 USD = R 19. Banks and foreign exchange Bureaus are available to facilitate foreign currency exchange.

  1. Time zone in South Africa (GMT+2).


10. SEASON OF THE YEAR

  1. The month of April is the middle of Autumn which ends in May in South Africa. Johannesburg’s temperatures are moderate (not too cold or hot), ranging between 46°F/7 °C and 64°F/17 °C, warm clothes are a must. Take some summer clothes in case it gets warmer.

12. POWER ADOPTORS

  1. For South Africa there are four associated plug types, types C, D, M and N as illustrated in the picture below. Plug type C is the plug which has two round pins, plug type D is the plug which has three round pins in a triangular pattern and plug types M and N both have three round pins. South Africa operates on a 230V supply voltage and 50Hz.
